Traveling to Training Events

Persons selected to attend NIC training are permitted to select their means of transportation to the training site, subject to the conditions explained below.

Air/Train Transportation
NIC has authorized Carlson Wagonlit Travel to issue one round-trip airline ticket (or train ticket at a cost not to exceed our air cost) from a departure point near each participant’s home to the arrival point nearest the training site (usually, Denver, Colorado). The ticket is not, under any circumstances, transferable to any other party. The cost will be charged directly to NIC.

To arrange your travel, contact Carlson Wagonlit Travel at 866-530-0062 and press Option 1. You should refer to the training program number which appears in the event title when speaking to the travel agent. You should telephone Carlson Wagonlit as soon as you receive this information, as government seating is limited. Carlson Wagonlit has been instructed to issue electronic tickets, where possible. They will fax or mail you a copy of your itinerary, which you will take to the airline ticket counter at your departure airport. The airline will issue you a boarding pass. Carlson Wagonlit cannot issue any non-refundable tickets. If you wish to change your arrival or departure date or airport, you must make the change directly with the airline after Carlson issues the ticket. Carlson is not authorized to make such changes.

If your plans change and you will not attend the training, participants must notify Carlson Wagonlit Travel so NIC’s account can be credited. Any paper tickets must be returned to the National Institute of Corrections, Academy Division.

Driving to Training by Personal Vehicle
Participants who wish to drive their personal vehicle to the training site must receive approval from the NIC Academy Division prior to their travel. Upon completion of the trip, they are eligible for reimbursement toward the cost of their travel. Reimbursement for travel will be the lesser of (l) the Government rate or special fare the Academy would have paid for the lowest cost common carrier (usually air travel), or (2) Privately Owned Vehicle mileage. The rate of mileage reimbursement for a personal vehicle will be set forth in the authorization form NIC will provide you if you intend to drive. The mileage claim form will be e-mailed or faxed to you before the training, and you must complete it and send it to NIC’s accounting firm (the address is on the form) following the training. Do not send the form to NIC or your reimbursement will be delayed. You should receive your reimbursement about four to six weeks after submitting the claim.

Driving to Training by Government Vehicle
NIC is not able to reimburse mileage for driving a government-owned vehicle to the training.

Local Participants
Participants from Colorado may travel by air or car to the training site. Those who live at least 50 miles from the training site will be reimbursed for mileage for one round trip between their home and the training site (regardless of the number of participants riding in the vehicle) if a personal vehicle is used and ground travel was authorized by NIC prior to the travel.

Participants living within a 50-mile radius of the training site are considered to be local and will not be reimbursed for mileage.
